Beantree e-mail lists offer a wealth of functionality.  The following information is provided to help manage your list. To have a list set up, please contact our support department.  Your subscriber lists can be managed in the client cockpit. What is an e-mail list?
An e-mail list is quite literally a list of e-mail addresses that are all sent the same message. Someone who wants to send a message to the list subscribers sends the message to one address (the main list address). Everyone subscribed to list receives the message. People can subscribe or unsubscribe from a list.

Unlike most e-mails sent to multiple people, an e-mail list message does not contain the addresses of everyone else on the list. Subscribers will not be able to see the e-mail addresses of everybody on the list, ensuring privacy.

How is an e-mail list managed?
Lists are managed by the list owner. The list owner defines what the list is about, and what the general rules are for the list. The owner is also responsible for all administrative matters and for answering questions from the list subscribers.

Types of E-mail Lists
Beantree offers two types of lists:

  • Announcement - A one-way list. For instance, you could send messages to your customers, or to your employees, but they would not be able to send messages back to the list.
  • Discussion - Allows all recipients to send responses back to the list, and all list subscribers.

Posting
Sending a message to your subscribers is easy. To post, send your message to the main list address that you supplied us when we set up your list. (e.g. discussion@mydomain.com or specials@mydomain.com).

List Moderation
If you have a discussion list, you can control whether your list is moderated or not.  A moderated list prevents any unauthorized people from sending to your list subscribers.  Moderated lists will have one or more moderators who receive posts.  Instructions for approving moderated posts are provided with the original message that was sent to the list.  For an announcement list, send your email to the list address and you will get a confirmation as the list owner to approve your post.  This prevents unauthorized people from posting to your list by "faking" your moderation email address in their email program.  Only you should have access to this special confirmation message.

Subscribing and Unsubscribing
Assuming your email list name is specials@mydomain.com, to subscribe to your list (through email) one must send a blank email to specials-subscribe@mydomain.com.  To unsubscribe from your email list, one must send a blank email to specials-unsubscribe@mydomain.com. 

Common List Operations:
Common email list addresses are provided in the table below. You will need to adjust these addresses based on your specific domain name and list name. You may also add, remove, and view subscribers from the Client Cockpit.

Terms and Definitions:
This table will help you to understand some of the terms used when dealing with e-mail lists.

Term

Definition

Owner

The individual who is in charge of the e-mail list, its policies, its purpose, approving new subscribers, and answering questions from subscribers.

Moderator

In a discussion e-mail list, the individual(s) in charge of monitoring the discussions and approving new subscribers.

Subscriber

A member of the e-mail list. Each subscriber receives a message when one is posted to the e-mail list. In a discussion e-mail list, they may post to the list.

Announcement List

A one-way list. The list owner is the only one that may post to the list. All subscribers will receive messages, but are not allowed to post to the list.

Discussion List

A two-way list. The list owner as well as the list subscribers may post to the list.

Confirmation

An e-mail that is sent to a new subscriber to confirm that the subscriber would like to be added to the e-mail list.

Subscribe

To become a member of the e-mail list.

Unsubscribe

To cancel membership to the e-mail list.

Digest List

Instead of receiving e-mails each time someone posts to the e-mail list, subscribers to the digest list will receive one e-mail with many posts.
